Enhanced Audit Trail - Activity Forecast, Funding Account, Supplier, Invoice/JV

Request to add the Enhanced Audit Trail functionality to financial items which are regularly 'audited' in relation to payment and financial planning processes. This would help track exactly what happened to indicate what was changed/when/and who made the change.


Priority list for Enhanced Audit Trail for financials/spend management: 1) Activity Forecast 2) Funding Account 3) Supplier 4) Invoice/JV.

Currency and Amount Fields Should be 2 Separate Fields

Description: Separate currency code USD in 1 field and another field with value such as $2,008.00.

Business Use Case: In Aprimo SaaS, all currency fields export to Excel in a manner that combines the Currency Code with the dollar value. Example: US$2,008.00 as text. This requires the user to further manipulate the export so that the values can be utilized as numbers in the CSV or Excel file.

Instead, this should export as 2 separate fields: currency code USD in 1 field, and another field with value $2,008.00.

Enhanced expense hierarchies and security permissions

Cascade/Filter specific expense categories based on alignment to activity or funding account down to L3 levels (e.g. Activity (Marketing Project 1)->Budget Category (Video & Production)->Budget Filter (Digital Marketing). 


Clients have multiple expense hierarchies with similar naming convention that cross activities (e.g. Activity (Marketing Project 1)->Budget Filter (Digital Marketing), Activity (Marketing Project 2)->Budget Filter (Digital Marketing)) but expense categories are specifically linked financially to an activity. If a user views a list of expense categories, they would week Digital Marketing 2x on the list without indication of which activity that expense category is linked to.


Additionally, there are needs around security access set for expense categories based on those who have access to activites (e.g. Interns vs Marketing Managers) in order to select the correct expense category when submitting a PO.

Workflow for Budgets

Currently there is no workflow on budgets. All approval process on workflow needs to be done outside of system. It will be good to have at least two levels of approval workflow on budgets. This will provide more control within system.

Cascading of expense categories by Activity type

Ability to filter expense categories by activity type. Not all expense categories are applicable to every activity type. Currently marketer needs to go through all the expense categories to pick one which is relevant and their is high chance to make an error. If application have ability to filter by selected activity then it will significantly reduce the chances of error and unnecessary rework e.g. If activity type is media then only media related expense categories will be available to select.

Budget Control

Currently system allowed to create proposal/activity forecast which can exceed remaining budget amount. It doesn't restrict or notify users that not enough budget left to proceed with an activity/proposal. This will kill the purpose of budget control systematically. There should be control so if a marketer try to over spend, they will be restricted and need to request budget increase.

Make the expense line unique on base items and Extended attributes . 


Current Unique Item Combination = ( Year+Period+Expense Category+Description) 

Requested  Unique Item Combination =  ( Year+Period+Expense Category+Description+ Extended Attributes )

Example: If we have a Expense line by Multiple Brand & Segments then in current set up the uniqueness is lost and we have to change the description with a suffix of 1, 2 etc but if we had the uniqueness with base items and extended attributes then we need not have to change descriptions to make them unique.

Activity Forecast : Disable the functionality to delete requested forecast when an activity denied

When an Activity Forecast is "Rejected" during workflow process , all the forecast lines related to this activity is deleted. This creates double work as the users will need to enter the entire forecast again . 

Example: If we have an activity with 50 forecast lines and if only a few need to be rejected, there is no capability to reject those few lines, instead the entire forecast lines are deleted . Then the user has to re-enter the entire 50 lines again . 

Proposal : Ability to reject but not delete the Forecast lines so that users can just make changes for rejected lines and then resend for approval.

Ability to plan at higher level and casecasde at lowest level

Business case: Wiithin a brand their are multiple segment and current user needs to create forecast lines for each segment. We need an option where marketer can provide forecast at planning segment level which will then explode to underlying child segment. This way marketer has ability to either forecast at specific child segment (which is correspond to GL entry) or at planning level which will be explode to child level by system. This is critical as based on current functionality marketer needs to spend unnecessary extra time to enter the data.

Ability to reallocate unused activity forecats to budget for a closed month or option to move to next month - Sweep Process

As per current functionality budget is consumed by approved activity forecast, the issue is forecast amount doesn't get released back to budget if no execution against that activity for the month i.e. no actuals for the month. We need ability in the system to either move the forecast to next month or release the amount back to budget as part of month end.

Increase the height of the RFP Message box when editing the message

When editing the RFP Message, the content editor box is only 5 rows.  Having to copy the contents into Notepad, then making your edits, then pasting them back in is extra steps that shouldn't be necessary and am getting lots of user complaints.     Can this please be increased to look similar to the View RFP Message page which displays the entire message content?

Authorization Trees: Enable "No Approval Required" setting or token user

On behalf of Jackson National Life...  We would like to use Authorization Rules and Trees to route [Forecast] approvals, but most (but not all) low value changes do not require an approval.
   The proposal is to enable an Authorization Tree Definition to be designated as "No Approval Required".  If that Definition is applicable, the submitted item would be stamped with "Approval Not Required" and processing would continue.
